Legally compliant digital FP signature solution helps tax consultants and clients in times of crisis

With the integration of the new FP Sign digital signature solution into the collect|bar workflow software, tax consultants and their clients can sign important documents quickly and contactlessly, for example to apply for government subsidies or bridging loans for their clients.

Berlin, 20/08/2020 - FP, the expert for secure digital communication, expands its portfolio for tax consulting firms through its partnership with digital|bar. The provider of digitalisation solutions integrates FP Sign into its collect|bar workflow software. The electronic signature solution from FP Mentana Claimsoft GmbH, a subsidiary of Francotyp-Postalia Holding AG (FP), allows for documents being signed and exchanged digitally by two or more recipients and contract partners in a legally compliant way as well as independent of location and within a few minutes.

More efficiency through digitalised business processes

At the beginning of the year, a survey conducted by the Hamburg-based market research company S.W.I. Finance Germany¹ revealed that 86.1 percent of law firms see the recruitment of suitable employees as the greatest challenge. This shortage of skilled employees is being exacerbated by the current situation, as the economic effects of the lockdown are creating an increased need for advice from tax consultancy firms in many companies. The digital signature solution now supports them, for example, in applying for government grants or bridging loans for their clients.

“The cooperation between digital|bar and FP helps tax consulting firms to communicate with their clients in a secure and uncomplicated way even in times of crisis, and to have important documents signed within minutes. In addition, the digitalisation of business processes fundamentally ensures greater efficiency and thus relieves the burden on employees - regardless of the crisis,” says Stephan Vanberg, CEO of FP Mentana-Claimsoft.

Simplifying complex contract processes with FP Sign

Tax consulting firms working with the collect|bar workflow software from digital|bar can now send digital documents to their clients for signature via FP Sign. Once the signature has been made, the signed documents are automatically collected again and transferred to the subsequent processes. Complex contract procedures, for instance, cannot only be simplified, but also made more efficient and significantly faster, which is in particular important in tax consultancy, since in this sector the deadlines of the tax authority must be met. This means that clients will no longer need to go to the law firm just to sign documents.

“With the integration of FP Sign, we have created a further possibility to process and sign documents completely digitally and, above all, independent of location. As a result of the restrictions in recent months, we have seen that the focus is now on the digital possibilities of processing documents regardless of location. FP Sign supports these processes not only in internal processing, but also in communication with partners or customers,” states Christian Poppek, Managing Director at digital|bar.

Audit-proof long-term archiving of documents

digital|bar advises companies on the digitalisation of their processes and on the audit-proof processing and storage of information. The collect|bar workflow software also allows for importing documents from the DATEV workstation. Documents generated from the template management can thus be transferred to collect|bar for signature via drag & drop.

FP Sign has the highest available signature level according to the European Signature Regulation eIDAS, the so-called qualified electronic signature. In addition, FP uses data centres in Germany that are certified by the German Federal Office for Information Security (BSI). Thanks to this, the digital signature solution complies with GDPR, and the data processing of, for example, contracts, tax statements or audit reports in unsafe third countries is excluded. FP Sign also provides for the statutorily prescribed long-term archiving in a simple, fast and, above all, secure manner.
